Pain

The parent company required the customer to establish a new IT infrastructure and migrate to SAP PLM. Since the company operates in a heavily regulated industry which requires strict control processes and data management, they turned to Zircoo for help.

Solution

Zircoo partnered with another integrator to migrate all of the company’s processes to SAP. Our team focused on the Engineering Product Lifecycle Management (PLM), and the partner focused on the base ERP system migration. Together, our expertise and experience allowed us to provide a comprehensive, streamlined solution that met the customer’s strict requirements.

Challenge

Throughout the transition phase, migrating data posed a significant challenge due to the extraction and integration of data from various legacy systems into SAP PLM. The absence of several data touch points in the documentation exacerbated the situation, resulting in gaps within the data migration strategies. It wasn’t until two months prior to the scheduled go-live that twenty-five percent of the required data was finally identified.

The stringent regulations imposed by the FDA added another layer of complexity, necessitating meticulous record-keeping capable of withstanding government scrutiny. The system also demanded heightened flexibility to adapt to the specific business processes mandated by regulatory authorities.

Moreover, the transition was impeded by a considerable learning curve for client employees, who struggled to grasp the nuances of SAP compared to their previous systems. Insufficient training exacerbated the situation, leading to delays and inflated project costs.

Key Features

Our specialists implemented core PLM which included: data management processes for materials, Bill of Materials (BOM), document and engineering changes, material classification, and BOM redlining.

Quality Management

Quality Management tickets were introduced to address quality monitoring processes.  (Corrective action tracking and preventative action tracking, supplier corrective action requests, deviation tickets that allowed some standard deviation for the materials they tracked, health hazard evaluation, and field actions).

IPS

Integrated Process Solution (IPS) integrated the company’s processes end to end, addressed the unique workflows that were required due to regulation, and also gave the company’s end-users the flexibility to make changes on the fly.

BMAX

BOM / Material Master Extension & Allocation Tool (BMAX) automated the processes to migrate all of their materials, set up the new Material Master processes, and build extensions in the new ERP.

Velox

Velox extracted data from multiple disparate sources and migrated it into the new system.

Cideon Conversion Engine

Cideon Conversion Engine converted all of their paper documentation into pdfs and gave the users the ability to approve them.

Results

Our project team effectively consolidated numerous disparate systems into a unified ERP platform, streamlining process management and significantly cutting maintenance and support expenses. This transition facilitated the company’s advancement to phase 2, unlocking a range of additional functionalities previously unavailable in their legacy systems, such as enhanced reporting and business control measures.

This solution not only bolstered the company’s adaptability but also automated formerly manual tasks within their ERP framework.
