SAP EHS Health & Safety Solution Implementation In A Railway Transportation Company
Customer
Client Overview:
Our customer is a prominent international provider of mobility and logistics services, boasting a global presence and employing over 10,000 individuals.
Challenge:
Addressing the imperative of ensuring a comprehensive health and safety environment for their workforce, our client sought to modernize their existing technologies governing medical appointment scheduling within the Occupational Health framework. Additionally, enhancements were required in risk assessment procedures and the management of chemicals and safety protocols to mitigate potential hazards.
Solution:
To meet these challenges head-on, the Zircoo team embarked on a series of independent developments tailored to the client’s specific needs. Furthermore, we oversaw the enhancement and extension of existing functionalities within SAP EHS solutions, ensuring seamless integration and comprehensive coverage of the client’s health and safety requirements.
Solution Description
Zircoo collaborates with companies and organizations to tackle the intricate challenges prevalent in today’s business landscape. Each of our partners embodies expertise, innovation, and proven leadership within their respective domains.
Solution 1 – Development of a Fiori application for employee medical checkups
Our objective was to create a new Fiori application for facilitating medical appointment scheduling for employees.
In the Occupational Health sector, the prevailing solution for medical appointment scheduling relied on outdated technologies previously utilized by the customer. Our challenge entailed integrating legacy processes and database tables into the Fiori solution to fulfill customer requirements. For instance, enhancing the Fiori calendar to visually indicate available and unavailable days through green and red colors was a priority. Furthermore, the application was designed to propose the earliest available time slot for a new appointment on the selected date.
A dedicated team of four Zircoo members undertook this aspect of the project, comprising a team lead, a scrum master, and three proficient developers.
Project scope:
Tasks accomplished include:
– Implementation of CDS views housing medical services and medical appointments overview.
– Development of logic enabling appointment creation/deletion and suggestion of suitable time slots.
– Integration of Fiori planning calendar for enhanced scheduling.
– Establishment of an authorization concept ensuring secure access.
– Configuration of email notifications with PDF attachments, delivering medical appointment results to employees’ managers.
Solution 2 – Enhanced Work Environment Risk Assessment Methodology
Introducing a novel analysis approach to assess the levels of risk in a workplace as part of the standard risk assessment protocol. This innovative method draws inspiration from the Easy-to-Use Workplace Control Scheme for Hazardous Substances (EMKG) developed by the German Federal Institute for Occupational Safety and Health (BAuA).
The implementation of this new analysis methodology was spearheaded by a trio of Zircoo team members: a team lead, a scrum master, and two developers.
Solution 3 – Enhanced Hazardous Material and Safety Data Management System
This solution focuses on integrating external chemical data and safety data sheets into the customer’s database while ensuring compatibility with the client’s existing data storage model. The Zircoo team also customized the chemical data format from an external API database source to align with the client’s data model.
Follow-up development efforts aimed to alert relevant personnel about detected hazardous conditions, such as:
– Changes in occupational exposure limits for chemicals and hazardous ingredients in new chemical revisions.
– Modifications in chemical attributes (e.g., hazard classes, hazard statements) between new and previous chemical revisions.
The project involved collaboration among a team lead, a scrum master, and two developers.
Project Scope:
– Analyze business and technical logic of relevant Business Objects.
– Determine necessary data formats.
– Establish new customizing and mapping tables.
– Develop logic to update Business Objects’ attributes with API-sourced values.
– Implement email generation for notifying responsible individuals of changes in occupational exposure limits and chemical attributes.
Solution 4 – Expansion and Enhancement of EHS Solutions
This initiative aimed to enrich existing custom application solutions and adapt standard SAP EHS applications to meet diverse customer requirements across various subareas, including Hazardous Substance Management, Incident Management, Risk Management, and Occupational Health.
Two developers from the Zircoo team were dedicated to this endeavor.
Project Scope:
– Introduce logic for generating editable chemical labels, including dynamic modification of custom XML sections within Microsoft Word templates.
– Extend standard workflows within risk assessment approval and incident notification processes.
– Enhance the chemical interface to synchronize data from external sources and update relevant SAP data models.
– Expand solutions related to employees’ annual health assessments.
– Extend standard applications for managing Safety Instructions pertaining to chemicals, equipment, and biohazards, along with associated PDF documents.

Thanks to these SAP EHS solutions, the client’s Medical appointment calendar now serves as a tool for implementing preventive measures to safeguard both the physical and mental well-being of employees.
The risk analysis methodology constitutes a crucial component in assessing the risk levels at locations where hazardous chemicals are utilized. When combined with other analytical approaches, it furnishes the customer with a comprehensive understanding of risk levels at specific locations, aiding responsible personnel in making informed decisions.
The chemical interface stands as a cornerstone solution for the customer within the Hazardous Substance Management domain. This developed program serves as the primary reservoir from which the customer retrieves vital chemical data encompassing hazard classes, hazard statements, hazardous ingredients, physical and chemical attributes, first aid and firefighting protocols, local regulatory details, and more. Subsequently, this repository of chemical information finds utility across various other solutions, including risk analysis and chemical safety instructions.
